Using Templates

Start chats from templates, understand what a template configures, and find the right template for a job in the Work Station.

Templates are ready-made AI assistants for specific jobs — email triage, report drafting, document parsing, translation, coding review and more. Each template packages a task's instructions, model choice, knowledge, capabilities and tools into one click.

What a template configures

A template is a saved configuration that can include:

IngredientEffect on the chat
System prompt / instructionsThe assistant's role, tone, format and rules.
ModelWhich model answers by default (your admin's approved list applies).
Knowledge basesDocument collections the chat can search for grounded answers.
CapabilitiesVision, Web Search, Code Interpreter, Image Generation, Video Generation, Citations, File Upload.
Tools and skillsExternal actions the assistant can take (via tool servers and skills).
Model parametersTemperature and similar generation settings.
Icon and descriptionHow the template appears in the library.

The Templates page

Open Templates in the module rail. The Work Station sidebar lists Templates, Vector Database, Prompt, Skills and Tools.

  • Browse the template cards; each shows its name, description and icon.
  • Use search/filters to find templates by name or tag.
  • Selecting a template card opens its detail view.

Start a chat from a template

  1. Open the template card.
  2. Select Start Chat.
  3. A new conversation opens with the template's instructions, model, knowledge and capabilities already applied — the chat header indicates the active template.
  4. Ask your question. Answers follow the template's rules and draw on its knowledge bases.

Note:

Depending on permissions, you can override the template's model inside the conversation. The template's instructions still apply.

Find the right template

  • Start from the job, not the tool — "I need to summarise supplier contracts" beats "which LLM?" Look for a template whose description mentions your document type.
  • Check the capabilities — parsing PDFs needs File Upload and knowledge bases; checking current facts needs Web Search.
  • Ask your administrator — admins publish and control which templates your group can see. See the administrator guide.
  • Browse example solutions — the Example Solutions section of this guide walks through common templates: Smart Outlook, Process Automation, Cyber Security Assurance, Image Generator, File Parser, App Extension.

When a template is not enough

  • Need different knowledge? Ask your admin to add documents to the template's knowledge base, or create your own template. See Creating Templates.
  • Need a saved question, not an assistant? Reuse the Prompt Library instead.
  • Need multi-step automation across systems? That's a workflow. See Workflow Builder.
